Responsibilities

The main duties of a Secretary to Group CEO are to organize appointments, meetings, and take minutes. Answering emails or phone calls Coordinating with other related departments Including storing important documents for supervisors. And also have to do some administrative work, such as collecting cash bills. Booking airplane tickets Or a hotel when traveling to work, etc. The secretary should have basic knowledge about the business that the organization is doing. In order to be able to communicate and coordinate easily, you should also have management skills. Coordination Ability to multitask at the same time Including having to be calm. Have the skills to listen, understand, and be knowledgeable and fluent. 

Confidentiality:

  • Support to ensure that all of the confidentiality and discretion are managed effectively and smoothly and all is communicated clearly
  • Maintain strict confidentiality and discretion in all aspects of work

Support & Arrangement :

  • Be an representative of Group CEO to plan and coordinate in all of the company’s activities
  • Manage and prioritize topics or necessary information in order to summarize to Group CEO for making decision effectively
  • Work closely with Group CEO personal assistant in order to arrange time schedule in all aspects of work, especially strategic issue or topics
  • Manage and maintain Group CEO’s schedules, appointments, and travel arrangements
  • Provide high-level administrative support to Group CEO
  • Handle incoming and outgoing communication on behalf of Group CEO

Meeting Coordination :

  • Schedule and coordinate meetings, appointments, and conferences
  • Prepare agendas, take minutes, and distribute materials for meetings
  • Ensure that Group CEO is well-prepared for meetings
  • Summarize the meeting topic point to Group CEO

Research, Analysis & Report :

  • Conduct research on various topics as requested by Group CEO
  • Compile data and prepare presentations
  • Prepare reports as requested by Group CEO

Communication Liaison :

  • Act as the primary point of contact between the CEO and internal/external stakeholders

Job Spec :

  • Be able to travel domestically and internationally
  • 3-5 years experienced in executive assistant to management in Financial Service, Bank, Brokers, Payment gateway industries
  • Fluent in English (Writing & Speaking)
  • Skilled in MS Word, Excel and PowerPoint
  • Experienced in confidentiality and discretion management
  • Experienced in Strategic planning and stakeholders
  • Has Interpersonal skill, Time management
  • Be proactive, corrective & on time
